Order Status Definitions

In CarePortals, every order moves through a series of statuses that represent its stage in the lifecycle, from the moment a patient makes a purchase until the product is shipped. While many of these steps are automated, understanding what each status means is key to understand the order journey and identifying any issues that may require attention.

The following table provides a detailed explanation for each possible order status.

Status

Description

Pending

This status indicates that the patient has not added a payment method to their account yet.

Awaiting Payment

This status indicated that the initial payment attempt failed.

Processing

It indicates that the patient has successfully completed the checkout process and their payment has been processed.

Awaiting Requirements

This status indicates that the order is on hold because the patient still needs to submit the required information, such as a health questionnaire or intake form. The specific requirements are automatically assigned to the order based on the product that was purchased. The order will remain in this status until the patient completes and submits all necessary forms through the Patient Portal.

Awaiting Requisition

This status indicates that the order requires a lab test to be completed by the patient.

Awaiting Results

This means the system is now waiting for the patient to submit the lab test results. The order will stay in this status until the lab results are uploaded into the patient's record.

Awaiting Script

Once a patient has submitted all their required information, the order status changes to Awaiting Script. This means that the system is now waiting for a licensed healthcare provider to review the patient's file and write a prescription. For clients integrated with a third-party physician group, a visit request is automatically sent to the partner via an API at this stage.

Awaiting Fulfillment

A prescription has been received successfully and is awaiting linkage to the patient’s order.

Awaiting Shipment

The order, along with the prescription, has been sent to the pharmacy for fulfillment.

Shipped

This is the final active stage in the order journey. The status changes to Shipped when the pharmacy sends an update to the system confirming that the order has been sent out. At this point, a tracking code is provided by the pharmacy and becomes visible in the order details.

Cancelled

This status can result from patient request or provider-determined ineligibility.

Returned

This status typically applies to non-medical products, for example, an item that’s not the right size is returned.
