How to Manage Patient Subscriptions
Subscriptions are used to automate refills for medications and can be set up with multiple phases, each with its own pricing and duration. Most subscription processes are automated, but sometimes you may need to make a manual change for a patient. Managing subscriptions is a key task for your team, and this article will help you handle these changes smoothly.
This guide shows you how to pause, cancel, resume, or change the renewal date of a patient's subscription directly from the Electronic Medical Record (EMR) portal.
Manual Changes on Subscriptions
The CarePortals platform is built on a powerful automation engine that manages most subscription tasks through workflows. Manually pausing or resuming a subscription can interrupt these automated processes and alter their respective payments cycles.
We recommend using these manual controls primarily to resolve specific issues or accommodate patient requests that fall outside the standard automated journey. If you are ever unsure about making a manual change, review the subscription's status history to get additional context.
Managing Patients Subscriptions Manually
To update a subscription manually, you have to access the Subscriptions section from the main navigation menu or from a patient’s profile and use the buttons under the Actions column to:
Pause a Subscription: You can temporarily pause a patient's subscription. This action stops the recurring billing and fulfillment until the subscription is resumed. For this, click the Pause (⏸) icon.
Resume a Subscription: When a patient is ready to start their refills again, you can resume their plan. Resuming a subscription restarts the automated billing and fulfillment cycles. For this, click the Play (▶️) icon.
Cancel a Subscription: You can permanently cancel a patient's subscription. This will stop all future cycles and charges. For this, click the Cancel (❌) icon.
Edit a Subscription's Renewal Date: If you need to change when the next subscription cycle occurs, you can edit the renewal date. Click the calendar icon (📆), Select the New Date for the renewal and save the change by clicking OK.
Manually update the Current Cycle: To do this, click on the pencil icon under the Current Cycle column and adjust the number in the field that opens. Then, select the green checkmark (✓) to save your changes.
