Understanding Patient Profile

This guide breaks down the key data fields and actions available in a patient's profile. Understanding these fields is the first step in navigating a patient's complete record, which includes their history, submitted information, and all interactions with your brand.

Whether you are reviewing a patient's information for the first time or need to quickly perform an action, such as editing their details or initiating a chat, this reference will help you understand key fields, enabling you to know what to look for.

1. Patient Profile Header

The header provides a quick summary of the patient's essential information and gives you access to key actions.

Field / Button

Description

Patient Details

Displays the patient's basic personal information, including their Name, Email, Phone number, Gender, Address, and Date of Birth (DOB).

Stripe

A link that opens the patient's profile directly in the Stripe payment platform. You will need to login to access its details.

Providers

Lists the healthcare provider(s) currently assigned to the patient. Providers are designated as users with the Provider role in the CRM. When assigned, they are the only authorized users permitted to access that patient’s record.

Groups

Lists any groups the patient is assigned to. The most common use for this feature is to assign a team for patient support.

Assigned Questionnaires

Displays the medical forms that have been assigned to the patient. These forms are typically ‘Requirements’ added to a product during its configuration.

Account Credits

Shows the patient's current credit balance available for use on future orders. This will only be displayed next to the patient’s name if they have any credit.

Action Buttons

Located in the top-right corner of the header, you'll find several shortcut buttons for common actions:

a. Create RX (Prescription Pad Icon): Allows you to create a new prescription for the patient directly from their profile.

b. Create Order (Shopping Cart Icon): Quickly starts the process of creating a new order for the patient.

c. ID Verification (ID Card Icon): Manages the patient's ID verification status. You can set a verification with an expiration date or un-verify an ID.

d. Insurance (Shield Icon): Shows if the patient has insurance available. You can click it to change this status.

e. Copy Profile Link (Link/Chain Icon): Copies the direct link to the patient's profile to your clipboard.

f. Manage Watchlist (Eye Icon): Adds or removes the patient from the watchlist. The watchlist is a feature used to monitor specific patients.

g. Edit (Edit Button): Allows you to edit the patient's profile data, such as their name or contact details.

h. Chat (Chat Bubble Icon): Opens the chat window to communicate directly with the patient.

i. Online/Offline Status: Shows the patient's current activity status on the Patient Portal.

A patient’s activity status is updated every 15 seconds. The statuses are: Online (patient is active), Idle (patient is online but not active), and Offline.

2. Key Patient Data Tabs

Below the header, a series of tabs organizes the patient's detailed records. This guide highlights key fields in the Questionnaires, Subscriptions, Prescriptions, and Orders tabs.

Here is a breakdown of the data fields you will find within the patient profile tabs mentioned above.

a. Questionnaires

This tab lists all the medical questionnaires and files the patient has submitted.

Field

Description

Type

The name of the questionnaire or file (e.g., Gov ID, Weight Loss Monthly).

Created At

The date and time the patient first submitted the form.

Last Updated

The most recent date and time the form was updated.

Status

The current status of the form, such as Reviewed or New - Awaiting Review.

b. Subscriptions

This tab shows all of the patient's active and past subscriptions for products or services.

Field

Description

Subscription ID

The unique identification number for the subscription.

Product Name

The name of the subscribed product.

Plan

The details of the subscription plan, such as price and frequency (e.g., $299 Every 1 month).

Status

The current status of the subscription, such as Active.

Created

The date and time the subscription was created.

Next Cycle

The date the next subscription renewal is scheduled to occur.

Current Cycle

The current cycle number of the subscription (e.g., 2).

Actions

A set of icons to manage the subscription, such as pausing or canceling it.

c. RX (Prescriptions)

This tab manages the patient's prescriptions (Rx), showing a history of all prescriptions issued.

Field

Description

Prescriber

The name of the healthcare professional who wrote the prescription.

Created At

The date and time the prescription was created in the system.

Last Fulfillment Created At

The date and time the most recent fulfillment order was created for this prescription.

Last Fulfillment Order #

The order number associated with the most recent fulfillment.

Print Count

Tracks how many times a prescription's details have been viewed, which counts as a "print".

d. Orders

This tab contains a complete history of the patient's past and current orders.

Field

Description

Order #

The unique identification number assigned to the order.

Customer

The name of the patient who placed the order.

Created Date

The date and time the order was created.

Last Update

The most recent date and time the order's status or details were updated.

Total Price

The total amount charged to the patient for the order.

Status

The current stage of the order in the fulfillment process (e.g., Pending, Awaiting Requirements).

State

The patient's state or province associated with the order.

Assigned To

Typically, a pharmacy that the order is assigned to for fulfillment.

Actions

A set of actions that can be performed on the order, such as retrying a payment with the Charge button.

Searching and Sorting the Patients List

You can find patients by sorting the list or using the available filters.

  • To sort, click any column header.

  • To filter, use the fields at the top of the list, such as First or Last Name, Email, or Provider.

To clear all active filters, click the refresh icon (🔄).
