Order Fields Reference

This guide breaks down the key data fields you'll see on an order. Understanding these fields can help you understand what the order contains, where it came from, and what actions might still be needed. Whether you're reviewing an order for the first time or following up to keep things moving, this reference will help you interpret the details and know what to look for.

Key Data Fields

The following fields provide important information about each order.

Most of the information is populated automatically by the system.

Order Header

Order ID

The order's unique identification number (e.g., #1392). Orders also have a longer internal ID.

Created

The exact date and time the order was created.

Order Status

A dropdown menu showing the current stage of the order. Statuses include Processing (payment confirmed) and Shipped (order product(s) sent by the pharmacy).

Payment Status

Indicates the payment status (Paid or Failed) and the total amount paid.

Assigned Group

A dropdown to assign the order to a group, which is typically a pharmacy partner.

Stripe

A button that links to the Stripe payment platform to view the transaction details for this specific order.

ShipStation

A button that links to the ShipStation service, an external shipping software platform.

Patient Information

Patient Details

Displays the patient's name, gender, date of birth (DOB), email, phone number, and address.

Medical Information

Lists the patient's recorded allergies, current medications, and health conditions.

ID Verification

Verify an ID by setting its expiry date manually. To verify the ID, click it and set an expiration date. Click it again to unverify it.

Insurance

Click to verify a user has insurance. Click again to unverify it.

Write RX

A button for a licensed provider to create a new prescription for the order.

Activity

This button opens the patient's activity log, which tracks communications like calls, emails and SMS messages sent via workflows or manually.

Chat

This button opens the secure asynchronous chat window, allowing you to communicate directly with the patient. Here, you can exchange message and files with your patients.

Subscriptions

Subscriptions List

Displays all active subscriptions associated with the patient.

Shipping Address

Address

Confirms the address where the order will be shipped. The pencil icon allows you to edit this address.

Products

Product Details

A table listing the items in the order, including the Product name, selected Options, and Quantity (Qty).

Pricing

Shows the price breakdown for each product: Listed Price (standard retail price), Sale Price (discounted price), Discount, Insurance, and Final Price.

Totals

Displays the Subtotal and the final Patient Charged amount for the order.

Refill

Use this button to create manual refills based on patient requests.

Requirements

Requirements List

Lists the prerequisites needed to fulfill the medication order, such as a health questionnaire, body selfie, or an ID.

Status Icons

A ✅ indicates a requirement has been completed by the patient, while an (x) indicates a requirement is still pending submission.

Notes

Notes Section

A space for internal team members to leave notes about the order.

Prescriptions (RXs)

Write RX

A button for a licensed provider to write a new prescription for the order.

Prescriber

The name of the healthcare professional who wrote the prescription.

Created At

The date and time the prescription was created in the system.

Last Fulfillment Created At

Confirms the date and time the prescription was applied to the order.

Last Fulfillment Order #

Shows the specific order number the prescription was applied to.

Print Count

Tracks how many times a prescription's details have been viewed, which counts as a "print”.

Actions

A set of actions to manage the prescription: View, Edit, Send, Copy, and Void/Cancel.

Fulfilled Prescriptions

Fulfilled Prescriptions List

Shows the specific prescription linked to the order.

Related Prescriptions for Order Products

Related Prescriptions for Order Products List

Lists existing prescriptions from the patient's profile that match the products in the current order. This helps the team identify if a valid prescription is already on file to fulfill the order.

Unfulfilled Orders

Unfulfilled Orders List

Lists any orders for the patient that are not completely processed yet. Technically, those orders are not linked to a prescription.

Extras

Order Metadata

At the bottom of the page, you can find the unique order ID, creation date, and the order's source (e.g., checkout), among others. These identifiers provide key details about how the order is progressing and connect it to external systems.

As you can see, towards the end of an order record, you can find metadata. This metadata such as source, or subscriptionid, is very important since it provides key details about how the order was created and connects it to external systems. For example, it confirms if a visit request was successfully created with a physician partner or if the order was sent to the pharmacy's management software. Field

Description

Order ID (_id)

This is the primary identifier for the entire order transaction. Orders have two separate IDs: a long one (e.g., 68764a1d85f394cb7dc71eba) and a short, more commonly used one (e.g., 13245).

Source

Indicates how the order was created. Common sources include checkout (orders placed on the website), subscription_cycle (for automated refill orders), manual_refill (for manually refilled orders) and manual.

Created

This timestamp indicates the exact date and time when the order was created, such as Jun 20, 2025, 2:38:33 PM.

Subscription ID (subscriptionId)

The subscription that order was created for.

Subscription Cycle (subCycle)

It indicates the current subscription cycle

Master ID (masterId)

It tracks a specific consultation visit with a physician group.

Beluga Visit ID (belugaVisitId)

It tracks a specific consultation visit with Beluga physician group. It confirms that a visit request was successfully created in their system. The format includes the order number, the DTB brand name, and a timestamp.

LifeFile ID (LifeFileId)

The confirmation ID received from LifeFile, a pharmacy management software. This ID confirms that the order was successfully created in the pharmacy's system.

Curexa Status (CurexaStatus)

Curexa pharmacy order status (out_for_delivery = shipped)

Payment ID (paymentId)

This is the Stripe Payment Intent ID, used by the payment processor to track the status of a specific payment attempt. For example, it can be: pi_3RI519GiltQPbBO74mHw27fP

Payment Status (PaymentStatus)

This field shows the current state of the payment. For example, the status requires_payment_method means that the transaction cannot proceed until a valid payment method (e.g., a credit card) is provided and confirmed.

Invoices

It tracks information related to invoices.
